Generating a Report
- Navigate to Reports
- Select a report type
- Choose a date range
- Apply filters (customer, category, salesperson)
- Click Generate
Each report includes:
- KPI cards — key metrics at the top (total revenue, count, average)
- Charts — visual representation (bar, line, donut, grouped bar)
- Data tables — sortable detailed breakdown with individual rows
- Footer totals — summary calculations
Period Comparison
The period comparison report lets you compare two or three time ranges side by side:
- Revenue, collections, and invoice count comparisons
- Percentage change indicators (up/down arrows with %)
- Category-level breakdown showing which areas grew or shrank
- Average invoice value and trend analysis
- Useful for monthly reviews, seasonal planning, and year-over-year tracking
Navigate to Reports → Period Comparison, select your periods (e.g., 2025-2026 vs. 2026-2027), and the report generates with full metric breakdowns.
Cash Flow Forecast
The forecast projects expected incoming payments based on:
- Unpaid invoices and their due dates
- Historical payment patterns per customer
- Overdue amounts and risk assessment
You can forecast for 7, 15, or 30 days. This report is also available through the AI assistant's Forecaster agent.
Report Templates
Save frequently used report configurations as templates:
- Generate a report with your preferred filters and date range
- Click Save as Template
- Name the template
- Re-use it anytime from Reports → Templates
SettleWise includes built-in preset templates for common reports (e.g., Monthly Sales, Weekly Collections). You can also create custom templates with your own filters, date ranges, and categories. Useful for reports you generate weekly or monthly.
Report Snapshots
Snapshots freeze a report at a point in time — the data is saved permanently, even if the underlying records change later.
- Generate any report
- Click Save as Snapshot
- Name the snapshot (e.g., "End of Season 2025-2026 Sales")
- Access saved snapshots from Reports → Snapshots
| Property | Details |
|---|---|
| Frozen data | The report results are saved at creation time — not recalculated |
| Configuration | The query parameters (filters, date range) are preserved |
| Categories | Snapshots are organized by type: Sales, Collections, Clients |
| Use case | Season-end archival, board presentations, audits |
Snapshots are particularly useful for end-of-season reconciliation — generate and archive comprehensive reports before closing a season.
Export
Export any report in multiple formats:
| Format | Best for |
|---|---|
| CSV | Spreadsheets, further analysis, data import |
| Excel | Formatted workbook with charts, sharing with teams |
| Print-ready reports, archival, sharing with stakeholders |
Reports with AI
You can generate any report by asking the AI assistant:
"Mostrame las ventas de este mes"
"Collections report for last week"
"Compare January vs February sales"
"Cash flow forecast for the next 30 days"
"Export as CSV"
The assistant generates the report and can follow up with exports or drill-downs. See Reports with AI for details.
Best Practices
- Review the Aging Report weekly — catch overdue invoices early so you can follow up before balances become uncollectable
- Use Period Comparison monthly — compare this month vs. last month to spot trends
- Save templates for recurring reports — weekly collections, monthly revenue, end-of-season summaries
- Export before closing a season — generate and archive comprehensive reports before end-of-season reconciliation
- Use the AI assistant for quick checks — ask "how much did we sell this month?" instead of building a full report
